Job Summary

 

Working out of our global headquarters in Irvine you will be a key member of our Finance team processing payroll for multi-state divisions with a total of 1200+ employees  

 

Responsibilities                                                                                                                   

·         Create interfaces and import information from various sources to ProBusiness

·         Assist with processing and verifying semi-monthly payroll for 1200 employees

·         Act as system administrator for EZ Labor & WorkCenter

·         Responsible for setting up garnishments.

·         Assist employees with payroll related questions.

·         Assists on special projects and provides ad hoc reports as needed.

 

 Education

 

Ideally CPP certification or equivalent payroll experience

 

Ideal Experience

 

5 + years payroll experience

Experience with ProBusiness or other payroll software

Proficient in Microsoft Office software

Responsibilities/Requirements

The LA office has an immediate opening for a full-time Payroll Specialist.

In addition to possessing 2-3 years of multi-state payroll experience applicants must possess working knowledge of the following:

•Ceridian Source 500 strongly preferred.

•Ceridian Crystal or SQL reporting; attrition and compliance reporting. •Ceridian payroll transmission, receipt and reconciliation; to oversee payroll  processing in the absence of the Payroll Manager.

•Ex-patriot payment experience preferred; equalization calculations.

•Heavy knowledge of labor laws and guidelines.

•Calculation of leave payments; garnishments and wage assignments. •General ledger reconciliation of payroll accounts and manual check reconciliation.

•Intermediate/Advanced Excel skills required. Candidates must possess excellent communication skills, be detail oriented and have the ability to work with end users and train on reporting. College degree or equivalent certification strongly preferred.

Successful completion of criminal background and financial/credit checks required for final candidate. In addition, a DMV record check is required before and during employment. Continued employment in this position requires ongoing satisfactory DMV records reviews.

Responsibilities: Provide accounting, administrative and customer service support for the payroll process. Input employee payroll information into payroll system. Prepare all semi-monthly and monthly payroll checks for data processing and delivery. Reconcile payroll checks to employee registers and resolve discrepancies. Process, verify and update direct deposit applications and pre-notifications. Establish and maintain payroll records. Process general payroll information, direct deposits, stop payments, garnishments and vacation/sick benefits. Process hand drawn payroll checks. Prepare reports for accumulation data for journal entries, workers' compensation, federal and state tax payroll deposits, garnishments and other payroll remittances. Respond to payroll policy and procedure inquiries from Chapman University personnel. Research payroll requests and resolve payroll discrepancies. Assist Human Resources in researching, resolving and/or answering payroll questions, requests and discrepancies according to FLSA, state wage and labor codes, INS, IRS and Chapman University policies and procedures. Prepare wage audit information to be sent to federal and state agencies. Prepare special payroll reports and perform special payroll tasks.

This position may require flexible schedule, including occasional evening and weekend hours to accommodate business needs. Will need to drive golf cart to main campus for meetings and as a courier when needed.

Qualifications: Required: Prior payroll experience. Two years of college credit or equivalent combination of education and experience. Knowledge of IRS and labor law regulations and codes relating to payroll functions. Ability to work independently and to prioritize duties. Organizational skills to carry out duties in a timely manner. Strong problem solving and research skills to resolve discrepancies. Excellent customer service, communication, interpersonal and telephone skills. Skill to perform arithmetic calculations. Writing skills to prepare, edit and proofread written correspondence. Ability to deal with detail, volume, repetitive daily input and time constraints. Ability to work effectively as a team member. Ability to maintain a high level of confidentiality. Ability to establish and maintain accurate files and other record keeping systems. Ability to use standard office equipment. SUMMARY: The Payroll Specialist is responsible for the payroll administration for the University;
payroll is done in-house, via Colleague/Datatel system. The primary function of this position includes processing faculty, staff, and student payroll. This position reports to the Director of Human Resources.

ESSENTIAL FUNCTIONS:
Processes and maintains University payroll in-house for over 600 employees, including student workers.
Maintains and updates payroll processes as guided by compliance and best practices.
Provides assistance to University employees, including student workers, regarding all payroll related matters.
Processes current employee payroll changes and additions.
Reconciles and problem solves all payroll issues and accompanying records, and communicates solutions directly to the employee or via Human Resources.
Maintains University employee’s payroll files.
Prepares monthly and quarterly payroll and tax reports for both internal and external requirements.
Analyzes and counsels with the Director of Business Services or the Director of Human Resources regarding all matters related to payroll and benefits.
Performs additional related duties as assigned.

MINIMUM QUALIFICATIONS:
BA in Business or equivalent with emphasis in accounting preferred.
Acquired Certified Payroll Professional (CPP) certification is a plus.
Four or more years of payroll experience preferable in a college or university setting.
Applicants with Datatel experience and payroll reporting requirements will be given priority.
Knowledge of Federal and State payroll regulations.
Must be able to maintain a high level of confidentiality of payroll and personnel data.
Exhibit exceptional organizational skills and the ability to work with minimal supervision.
Knowledge of relevant office procedures and terminology.
Ability to communicate effectively, both orally and in writing.

About the job….

 Epicor has created a new position in our Irvine, CA headquarters. We are looking for someone to oversee the operational and administrative aspects of the company’s stock programs and assist with payroll processing.  We are looking for someone to manage the daily stock transaction process, stock option exercises, stock granting, terminations and settlement reconciliations.   In addition, this individual will assist in processing our semi-monthly payroll.

 

Duties Include……

 

Stock Administration:

·         Manage daily transaction process and maintain accurate and up to date records in Equity Edge, employee stock option and restricted stock files and reports to ensure stock information is accurate.

·         Coordinate ESPP enrollment and purchases.

·         Monthly stock option and RSU grant processing.

·         Provide ad-hoc reporting to tax, payroll, finance, legal and accounting areas.

·         Maintain insider-trading list.

·         Manage year end employee mailing.

·         Quarterly equity reporting for external purposes.

 

Payroll Administration:

·         Assist with processing Exempt and Non-exempt payrolls.

·         Assist with year-end payroll processing.

·         Responsible for updating employee’s state and local taxes to ensure accurate withholding from employee’s wages.

·         Assist employees with payroll related questions.

·         Produce payroll reports.

 

 

What you need to bring to the table…

1.     Experience working for a multinational company with a strong understanding of  the accounting, tax and legal requirements of equity plans.

2.     Minimum of two years of Stock Plan Administration experience in ESPP, Stock Options and Restricted Stock.     

3.      Experience in working with Equity Edge software.

4.     General understanding of payroll principles, practices, and procedures.

5.     Working knowledge of multi-state payroll laws.

6.     Ability to research, multi-task and meet deadlines under tight timeframes.

7.     Experience utilizing payroll systems such as ADP, ProBusiness Payroll or other payroll systems.
